Bilingual Administrative Assistant
Overview:
Garvish Immigration Law Group, an Atlanta based, award-winning immigration firm is looking for an outgoing, people-oriented person to be its primary administrative assistant. Spanish and English speaking are highly preferred.
Responsibilities:
- Enthusiastically answering and directing phone calls and emails from potential clients, current clients and vendors.
- Receive, sort, scan and distribute mail on a daily basis
- Organizing and documenting case information in immigration software, specifically Docketwise.
- Scheduling and arranging staff meetings and other meetings and keeping detailed notes.
- Ordering scanning, copying, and office supplies and keeping basic office tasks running in an efficient and proactive manner.
- Handling administrative requests from lawyers and legal staff, such as scanning and shredding closed case files.
- Maintaining calendar management for legal files, including logging expiration and eligibility reminders from USCIS and DOL.
- Work with Director of Marketing to assist with creation and scheduling of social media posts.
- Work closely with Project Manager and Director of Operations to ensure the move to a virtual office is managed efficiently and maintained while operating from a temporary location.
- Maintain basic firm accounting through Quickbooks with assistance of professional accountants.

- Knowledge of office equipment (printers, fax, etc)
- Proficiency in programs such as Google Workspace and basic CRMs, such as Docketwise and with Quickbooks
- Excellent time management skills and ability to prioritize work, multi-task and efficiently organize tasks and responsibilities.
Education & Experience:
The Administrative Assistant will have a Bachelor’s Degree, or equivalent work experience.
Proven experience as an administrative assistant, particularly in the legal arena; immigration law firm experience is a plus.

Entry Level Legal Assistant/Paralegal
Overview:
Garvish Immigration Law Group has an immediate opening for a Bilingual Legal Assistant/Paralegal (Spanish/English) with at least one year of actual experience as a paralegal; experience as an immigration paralegal is a plus.
Ideal Candidate:
The ideal candidate is a self-starter, enjoys working in a team environment, and is an innovative problem solver. Attention to detail and ability to follow through in a timely manner with attorney requests is very important. The ideal candidate will have an Associates Degree and experience in an immigration law office.
Responsibilities:
- Handle forms, client contact, document management and research as requested by attorneys
- Gather and secure client information and documentation
- Prepare USCIS and other government forms for attorney review
- Liase with government agencies (DOl, USCIS, NVC) to troubleshoot as necessary
- Assist attorneys with various U.S. visa petitions (H-1B, E-1 and 2, TN, O-1, J, etc.)
- Perform basic legal research and maintain oversight of individual case loads
- Manage case tracking for clients in Docketwise
- Provide back-up (if needed) when support employees are absent.
Requirements & Skill:
- Bachelor’s degree
- Bilingual Spanish and English speaker
- Experience with USCIS procedures
- Computer literacy and experience with immigration software and proficiency with Google Workspace
- Detail-oriented with excellent communication skills and the ability to follow through on requests
- Ability to proactively anticipate next steps in matters
- Excellent customer service skills and the ability to work on multiple matters simultaneously in an organized manner with minimal supervision

Garvish Immigration Law Group is seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant / Legal Intake Specialist. As an Executive Assistant, you will provide comprehensive administrative support to our founder, while also serving as the first point of contact for potential clients as a Legal Intake Specialist. This is a dual role that requires exceptional organizational skills, a keen eye for detail, and the ability to manage multiple tasks simultaneously.

Executive Assistant Duties:
- Manage founder’s calendars, including scheduling appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, and presentations for executives.
- Coordinate and prioritize incoming requests, ensuring timely responses.
- Conduct research and gather information for various projects and initiatives.
- Handle confidential information with discretion and professionalism.
- Perform general administrative tasks, such as filing, record keeping, and office supply management.
Legal Intake Specialist Duties:
- Serve as the initial point of contact for potential clients.
- Conduct initial intake interviews to gather relevant information.
- Assess client needs and determine appropriate services.
- Provide accurate information regarding the immigration process and available services.
- Manage and update client database (Docketwise), ensuring accuracy and completeness of records.
- Coordinate with attorneys and paralegals to facilitate client intake and case management.
- Maintain a professional and empathetic approach when dealing with clients.
Requirements & Skill:
- Bachelor’s degree in a related field or equivalent work experience.
- Prior experience as an executive assistant, legal assistant, or in a similar role.
- Familiarity with immigration law and procedures is highly desirable.
- Excellent communication skills, both written and verbal.
- Strong organizational and time management skills.
- Proficient in Google Suite; familiarity with Docketwise and Quickbooks a plus.
- Ability to handle confidential and sensitive information with integrity.
- Detail-oriented with a high level of accuracy.
- Strong interpersonal skills and the ability to work effectively in a team.
